Use Flowsy AI in a chat
Flowsy AI takes part in the chats where you allow it, like a member. When you ask a question with @Flowsy AI, it reads the conversation and posts its answer in the chat. It works in groups and in one-to-one chats.
To use Flowsy AI, it must be turned on in the chat; see Add or remove Flowsy AI in a chat.
Ask a question
- Type @ in the chat’s message field. Flowsy AI appears at the top of the list; tap it.
- Type your question and send it. For example: “@Flowsy AI where is the laptop purchase process?”
- Flowsy AI is typing… shows for a moment. Then the answer arrives in the chat as a reply to your question.
If you call Flowsy AI while replying to a message, it takes that message into account too. For example, reply to a message and write “@Flowsy AI summarize this”.
Your question stays in the chat as your message, and Flowsy AI’s answer stays as a message everyone in the chat can see.
What does Flowsy AI know?
- The recent messages in the chat (up to 40 messages, from the last 24 hours)
- The process cards in the chat: which step a process is at, who it’s waiting on, the last approval and any rejection reason
- Information in Flowsy, with the permissions of the person asking: tasks, process status, reports, data tables, documents and calendar
Answers use the asker’s permissions
Flowsy AI looks up information with the Flowsy permissions of the person who asked:
- If you ask about something you have access to, you get the answer.
- If you ask about something you don’t have access to, Flowsy AI tells you that you don’t have access.
For example, when the general manager asks “@Flowsy AI what’s the total payroll this month?” and has access, they get the answer. When someone without access asks the same question, they’re told they don’t have access.
When Flowsy AI looked up information with the asker’s permissions, a note appears under the answer: With your permissions on your own question, or On behalf of
Important: The answer is visible to everyone in the chat. Information you ask about in a group is shared with everyone in that group. For things only you should see, use the /ai command in the chat; see Chat commands.
What can’t Flowsy AI do?
- It only reads information. It can’t start processes, approve, send messages or emails, or contact anyone. For these, it tells you where in Flowsy you can do them.
- In a chat, it doesn’t access your personal email or what Flowsy Assistant remembers about you.
Your questions are sent encrypted
Your question and the recent messages Flowsy AI looks at are sent end-to-end encrypted. Only Flowsy AI’s own secure device can open them; the chat server can’t read them. Messages in the chat aren’t sent to Flowsy AI unless you call it. See End-to-end encryption.
Answers can’t be changed
Flowsy writes Flowsy AI’s answer; no one, including the person who asked, can see it before it’s posted, edit it or delete it for everyone. This way everyone in the chat can be sure the answer came from Flowsy AI unchanged.
- You can remove the answer from your own devices only, with delete for me.
- You can forward the answer; the forwarded copy is sent as plain text with Flowsy AI as its source.
If no answer arrives
If Flowsy AI can’t answer, one of these lines appears under your question, visible only to you:
- Flowsy AI is off in this chat: Flowsy AI isn’t turned on in this chat.
- Asked too often, try again in a bit: Too many questions were asked in a short time.
- Flowsy AI couldn’t answer right now: A temporary problem occurred; ask again in a little while.
Note: AI answers can be wrong. Check the information before making important decisions.
