Units and working in more than one unit

A unit is a department in your organization’s structure; for example, “Purchasing” or “Izmir Office”. A unit can have sub-units, a manager, a task pool and roles that only apply in that unit. Approvals and pool tasks in processes go to the unit the request was started for and that unit’s manager.

If you’re in more than one unit

A person can work in more than one unit. One of them is the primary unit, which is used by default in tasks and reports; the others are shown as additional units.

When you start a request or plan a process, you’re asked On behalf of which unit. By default, your last choice is selected, or your primary unit if there isn’t one. Approvals and pool tasks go to the unit you choose and its manager. Units where you’re only the manager aren’t listed.

  • Some templates always start for a specific unit. You’re not asked; instead, it says which unit the work starts for.
  • Relative steps: If the template has steps such as “the requester’s unit” or “the requester’s manager”, you can choose which unit to use for each of them.

For starting a request on your phone, see Create a request.

Unit managers

In the desktop app and Flowsy Web, unit managers see the work in their units on the Department tab in Processes. If you manage more than one unit, switch units with the Select unit list at the top. On your phone, the My team and Pool sections of the My Work tab show unit labels; see My Work tab.

Unit processes

Your organization can give some people permissions that only cover processes in their own units. These apply to templates whose steps all stay in the person’s units, including sub-units:

  • Design unit processes: You prepare process drafts for your unit.
  • Approve unit processes: You publish those drafts.

For admins: managing units

In the desktop app and Flowsy Web, units are managed on the Settings › Management › Departments screen. This screen requires permissions to view, create and edit units.

  • To add a person to more than one unit and change their primary unit, use the person’s Departments list on the Users screen.
  • If a role is also assigned to a unit, it only applies in that unit for tasks; if it isn’t assigned to any unit, it applies in all of the person’s units.
  • When you delete a unit, people are removed from it, sub-units move under the parent unit and roles stay in the system. Process steps that used the unit become unassigned, and tasks waiting in the unit’s pool lose their owner. This can’t be undone.

Note: The process and admin screens on the desktop app and Flowsy Web are currently in Turkish only; the labels above are translated.
