Start a process from a chat

In the middle of a conversation you can start a purchase, leave, expense or any other process your company uses, right from the chat. The process appears in the chat as a process card, and the card updates itself as the process moves forward. It works in groups and in one-to-one chats.

Start a process

  1. In the chat, tap + next to the message field and select Process. You can also type /süreç in the message field.
  2. Search for the process you want to start and select it.
  3. If the process asks for it, choose the department and fill in the starting form.
  4. Optionally, type a name to show on the card in Job name (optional); for example “3 laptops for the office”. If you leave it empty, the job is named by date.
  5. Tap Start.

Process only appears if you can start processes, and the list only includes processes you’re allowed to start.

What the process card shows

  • Status: In progress, Completed, Rejected, Cancelled or Error.
  • Now: The step the process is waiting on and who has it. If the step is in a department’s shared pool, it shows (Pool).
  • Waiting time: If a step can’t be decided before a certain time, how long until it opens for a decision.
  • Time warnings: Due soon or Overdue.
  • Last event: For example “Ayşe approved · Manager approval · 14:32”.
  • Rejection: If the process was rejected, the reason and who rejected it.
  • How many steps are completed and who started the process.

The card updates in place as the process moves forward; a new message isn’t posted for each step.

Card buttons

  • Open task: Appears when the step the process is waiting on is yours, and opens the task screen.
  • Approve / Reject: If the step is yours and doesn’t need a form, you can decide right from the card; see Approve or reject from a process card.
  • Details: Opens the process timeline. On completed steps, tap Details to see what was entered at that step. If you don’t have permission to see the process, it says “You don’t have permission to see this process’s details.”

See the processes in a chat

When a chat has an open process, a label such as 1 process or 2 processes appears in the chat header. Tap it to open Processes in this chat, split into Open and Closed; tap a process to go to its card in the chat. You can open the same list with the /süreçler command.

Who sees the card?

  • Everyone in the chat sees the card. The card is only a summary: step and people names, status and any rejection reason. What’s entered in forms isn’t on the card.
  • Everyone sees the process Details with their own permissions.
  • Only the person who started a process can add it to a chat.

When you’re offline

If the process starts but the card can’t be added to the chat, one of these notices appears:

  • The process started; the card will be added when you’re back online: The card is added automatically once your connection is back.
  • The process started but couldn’t be added to the chat: The process is running; you can try adding the card again.
