Meeting management

In group calls and scheduled meetings, hosts can manage how the meeting runs.

Who can manage?

  • Owner: The person who started the call or scheduled the meeting. In merged meetings, both meetings’ owners are owners.
  • Admin: The group’s admins.
  • Co-host: People made co-hosts during the meeting.

Each host can only take actions on people ranked below them.

Note: The meeting management screens are currently in Turkish only; the labels below are translated.

Open the panels

  • In the desktop app and Flowsy Web: In the top bar of a group call window, Participants is shown to everyone and Meeting controls only to hosts. The number on Participants shows how many people are waiting or have raised their hand.
  • On your phone: During a call, tap Meeting management in the More menu; in the meeting room, the button is called Manage. The panel has Participants and Controls tabs. Participants who aren’t hosts see Speaking queue in the same place.

Participants

The person speaking, the speaking queue, raised hands and people in the waiting room appear in separate sections. Tap a participant’s name to:

  • Give them the floor, add them to the queue or end their turn
  • Mute them, or stop them from unmuting
  • Allow them to use the mic, ask them to unmute, or take mic permission away
  • Turn off their camera, allow the camera, or ask them to turn it on
  • Stop their screen sharing or spotlight them for everyone
  • Make them a co-host or remove co-host
  • Move them to the waiting room or remove them from the meeting

Someone removed from a meeting can’t rejoin it.

Muting and mic permission

Someone a host has muted can’t unmute until they’re allowed to; Muted appears next to their name. If they try to unmute, they’re told to raise their hand to ask to speak.

  • While microphones are locked, the person given the floor can speak; when their turn ends, they’re muted again.
  • Participants are told about every change, such as “It’s your turn!”, “Your turn is over” or “Mic permission granted”.

Controls

Quick actions: Mute everyone, Unmute those who were muted, Turn off cameras, Allow cameras, Lower all hands and Add hands to the queue.

Unmute those who were muted lifts the mute a host applied; each person still decides when to turn their mic on.

Participants can: turn on their mic, turn on their camera, share their screen, send reactions. The Chat setting decides who can write in the meeting chat: Everyone, Hosts or Off.

Entry and security:

  • Waiting room: People who want to join wait for approval.
  • Lock meeting: No one new can join.
  • New people join muted
  • Join and leave sound: A short sound plays for everyone when someone joins or leaves.

Floor and stage:

  • Speaking time: The turn ends automatically when time is up. Choose Unlimited or 1, 2, 3, 5 or 10 minutes; the speaker’s row shows the time left.
  • Focus mode: Participants only see hosts, the speaker and the spotlighted person.

Report: Download or share the attendance list as a CSV file.

Danger zone: Stop participant activity and End for everyone. End for everyone is only shown to owners and admins; co-hosts can’t end the meeting for everyone.

Waiting room

When the waiting room is on, only the meeting owner can let people in. Tap Admit or Reject next to a waiting person, or Admit all or Reject all when several people are waiting. Other hosts can see the setting but can’t change it. Someone previously removed from the same device is marked Removed before.

Merge two meetings

The owner of a scheduled meeting can bring the people in another meeting into theirs. Everyone moves over without being disconnected, and both meetings’ owners are owners of the merged meeting.

  1. In Controls, open Merge meetings.
  2. Pick the meeting from the list, or paste its link or code into the Link or code field.
    • For your own meeting, tap Merge; the meetings merge right away.
    • For someone else’s meeting, tap Send request. It merges once that meeting’s owner approves. While waiting, you can cancel with Undo.

When the merge is complete, everyone sees “Meetings merged”. If your request is rejected, you’re told.
