Export and import processes

You can save process templates to a file and move them to another Flowsy installation, or bring a process drawn in a BPMN tool into Flowsy. You do this in the desktop app and Flowsy Web.

Note: The process screens are currently in Turkish only; the labels on this page are translated.

Export

  1. In Processes, open the Templates tab and select the template.
  2. Click Export in the template’s details.

The template is saved as a <template name>.bpmn file. Anyone who can view the template can export it.

The file uses the standard BPMN 2.0 format and opens in tools such as Camunda Modeler or bpmn.io. Nothing is lost when it’s brought back into Flowsy: the steps, forms, step settings, the units and roles the template uses, assigned people and called sub-processes are all in the file.

Import

  1. On the Templates tab, click Import.
  2. Choose the file or drag it onto the window. .bpmn and .xml files up to 5 MB are accepted.
  3. Flowsy checks the file and shows a summary. Nothing is saved at this point.
  4. Change the Process name if needed. If a process with the same name exists, a new name is suggested.
  5. Choose your options and confirm the import.

The process is always created as a new draft and opens right away; it never becomes a new version of an existing process. It needs to be approved before it’s published.

You need permission to create processes to import. If you only have permission to create unit processes, you can import processes whose steps all stay in your own units; see Units.

Matching

On the summary screen, the units, people, roles and sub-processes in the file are matched to the ones in this installation:

  • People are matched by the same ID or by email address.
  • Units are matched by name. An existing unit is never moved.
  • Roles are matched together with their units, and sub-processes by ID or name.

Each row shows a status, such as Exists, Will be created, Matched by email or Not found.

Options

  • Create units and roles that don’t exist in this system: Missing units are created following the tree in the file, under their parent units. New roles are created with no permissions and no people; you grant permissions on the Roles screen and add people on the Departments screen. If you can’t create units, this option is disabled.
  • Assign steps of people who weren’t found to their unit’s pool: If you leave this off, those steps come in unassigned.

You can complete steps that couldn’t be matched in the draft.

Note: If the file was made outside Flowsy, the steps are read from the diagram; you’ll need to complete assignments and form settings in the draft.
