Design workflows and track processes
The workflow designer is in the desktop app and Flowsy Web. Users with permission to view processes can open the Processes section; creating and changing templates also requires permission to create processes.
Creating a template
- Open Processes from the left menu.
- In the Templates tab, click New.
- Draw the steps with drag and drop: add approval steps, forms, conditions and report steps. You can also add photo, location, barcode/QR and chart fields to forms; see Reports and charts.
- Save the template. When it’s ready, you can start a process with Start on the template.
You can save a template to a file and move it to another Flowsy installation; see Export and import processes.
Calling another process
The Call sub-process step runs another template at a point in the flow. In the step’s settings:
- Process to call: Only approved processes are listed; each run starts the latest approved version.
- What should the main process do?: Wait until the sub-process ends or Continue without waiting.
- If the sub-process is rejected or canceled: Stop the main process or Continue the main process anyway.
- Data to pass to the sub-process: Use Add mapping to choose what to pass. Without mappings, fields with the same name are passed on. If the passed data fills in the sub-process’s start form, nobody is asked to fill it in again.
Note: The process screens are currently in Turkish only; the labels on this page are translated.
Tabs in the Processes section
- Tracking: Running processes and the step they’re on.
- Schedules: Process plans that start automatically on set days and times; see Scheduled processes.
- Pending Approvals: Process drafts and suggestions waiting to be published. Shown to people with permission to approve processes.
- Analytics: How long processes take and where they wait.
- Department: Where unit managers see the work in their units; see Units.
Seeing a step’s details
On the Tracking tab, click Details on a step to see what was entered at that step. This requires permission to view data entered in steps; unit managers can see steps in their own units without it.
Files added at the step appear as cards. View opens PDFs and Word documents (.docx) inside the app and images in a new tab; Download saves the file. Excel and old Word (.doc) files can only be downloaded.
